FS_Assistant Secretary

Primary Purpose:

To support the smooth and effective daily operations of the French Section Office by assisting the Senior Leadership Team (SLT), Office Manager, and other office colleagues, while also serving as a key administrative and communications liaison between the school and its various stakeholders.

Key Working Relationships:

  • Regularly interacts with students, staff, and parents regarding school policies, procedures, and operations 
  • Handles sensitive, confidential, and complex matters with professionalism and discretion

Main Responsibilities: 

Administrative and Office Coordination:

  • Maintain accurate records and inventories of equipment and purchases
  • Manage filing, printing, photocopying, and room reservations
  • Assist with daily operations such as distributing documents, updating files, and campus form usage
  • Schedule appointments for meetings with the Section SLT 
  • Support the Section SLT in various administrative tasks

Student and Parent Support

  • Serve as a primary contact for parents and students regarding school matters (academic, CCA, logistics)
  • Monitor and follow up on student absences via PowerSchool, including health-related protocols
  • Assist with student registration, discharge, walk home passes, and interface with bus, cafeteria, and CCA services
  • Provide support with family transitions (arrival, departure), including tours and information updates in liaison with Admissions
  • Assist with exam billing and document preparation (e.g., school certificates)

Event and Communication Support:

  • Coordinate logistics for parent-teacher meetings and school events
  • Support internal communications, including photo documentation and social media content management
  • Maintain up-to-date student and family information in school systems
  • Draft and distribute parent letters, emails, newsletters  and other communications

Finance and Procurement Support:

  • Support expense reports related to field trips and residential trips
  • Liaise with vendors for purchasing and inspecting deliveries
  • Track changes and support billing accuracy for various programs

Other tasks, as assigned by SLT and the line manager, may include administrative and secretarial support for the whole school as needed.

Qualifications and Requirements:

  • Bachelor's degree required
  • Minimum of 3 years’ experience in administrative roles, preferably in an international or school setting
  • Excellent written and spoken command of French, English, and Mandarin (additional languages a plus)
  • Strong organisational and time-management skills
  • Detail-oriented, proactive, and adaptable team player with a service-oriented mindset
  • Proficient in Google Workspace and school information systems (e.g., PowerSchool)
  • Strong interpersonal and communication skills; confident in liaising with a diverse community

*This position will be primarily based at the European Primary Campus (EPC), with duties also to be carried out at the European Secondary Campus (ESC) as appropriate.
